Who we are

The short version
We collect what we need to quote a job, ship a box, destroy your media, and issue a certificate. We never read, copy, or keep the data on the media you send us. We do not sell personal information, we do not run advertising, we use analytics only to watch traffic trends and never to track individual visitors, and we do not share your information with anyone except the vendors who help us deliver the service, and the law when it requires.
What we collect, and why
When you contact us or request a quote
Your name, organization, email, phone number, location, and whatever you tell us about the hardware and standard involved. We use it to answer you and prepare a quote, and we keep the correspondence so we can honor the quote.
When you order Shred by Mail
Your name, organization, email, return address, the items you declared, and your order total. Payment is handled by Stripe, which processes your card on its own systems; we receive confirmation of payment and the last four digits of the card, never the full number. If you buy a prepaid label, we share your address with UPS to create it.
When we destroy your media
We record information about the hardware: asset tags, media serial numbers, make and model, media type, the equipment used, the technicians, the date, the name of your representative who approved and witnessed the destruction, and the data sensitivity category you told us applied. That record becomes your Certificate of Destruction and media log. We do not access, read, image, or retain the contents of any media. If a device arrives with the data still on it, that data is destroyed along with the device.
When you visit the website
We use Google Analytics to understand traffic trends: which pages are read, roughly where visitors come from, and which searches bring them here. We use it to see patterns, not people. We do not use it to identify or follow individual visitors, we do not connect it to quote requests or orders, we have IP addresses anonymized and Google's advertising features turned off, and we do not use the data for advertising. Google's own privacy policy describes what it collects to provide the service, and you can block it with a browser setting or Google's opt-out extension without losing anything on this site. The contact form is protected by Cloudflare Turnstile, which checks that a visitor is a person without a puzzle and without tracking, and may set a short-lived cookie for that purpose. Beyond that, the site uses your browser's local storage only to remember conveniences such as an unfinished order form, and Stripe sets its own cookies during checkout for fraud prevention under its privacy policy.
When you leave a review or appear in a photo
Reviews shown on this site are reproduced from Google with the reviewer's public name. Photographs of clients appear only with their permission.
Who we share it with
- Stripe, to process payments.
- UPS, to create prepaid shipping labels when you buy one.
- Our email and form providers, to receive and store your messages.
- Recycling and smelting partners receive destroyed material and no personal information; a partner's name may appear on your certificate.
- Law enforcement or regulators, when a valid legal process requires it, and we will tell you unless we are legally prohibited from doing so.
We do not sell, rent, or trade personal information, and we do not share it for advertising. Google receives the analytics data described above and nothing else.
How long we keep it
- Quote requests and correspondence: two years after the last contact.
- Order and payment records: seven years, as tax law requires.
- Certificates of Destruction and media logs: at least the three-year audit period stated on the certificate, and longer where your contract requires it.
- Website analytics: aggregated traffic data in Google Analytics, retained for the tool's default period and used only for trends.
How we protect it
Encrypted connections to the site and to Stripe, encrypted storage on our devices, multi-factor authentication on the accounts that hold your information, and access limited to the people who need it. We handle your business records the way we handle your media: as if they were classified, because some of them are close to it. If we ever have a breach involving your personal information, we will notify you as Ohio law and your contract require.
Government and classified work
Classified information never touches this website and is never sent to us by mail. For government contracts, the security requirements in the contract, your security office's conditions, and the applicable federal rules govern how we handle information, and they take precedence over this policy where they conflict.
Your choices and rights
You can ask what personal information we hold about you, ask us to correct it, or ask us to delete it, subject to the retention periods above and any legal or contractual duty to keep it. Email contact@mansfieldtech.us and we will respond within thirty days. If you are in a state with a consumer privacy law, those rights apply as the law provides; we honor reasonable requests regardless of where you are.
Children
This site and our services are for organizations and adults. We do not knowingly collect information from anyone under 18.
Links to other sites
We link to YouTube, LinkedIn, eBay, Google, government sources, and standards bodies. Their privacy practices are their own.
Changes
When this policy changes, the effective date at the top changes with it, and material changes will be noted here for ninety days.
